2<\/strong>: Choose a default tax to add to the product.\n<ul>\n<li>You can add one or two taxes (or no tax).<\/li>\n<\/ul>\n<\/li>\n<li><strong>Supplier<\/strong>: Choose a supplier from the list.<\/li>\n<li><strong>Buy Price<\/strong>: Enter the price you paid for the supplier to buy this item.<\/li>\n<li><strong>Product code<\/strong>: Add a unique product code.<\/li>\n<li><strong>Barcode<\/strong>: You can use a barcode reader to input the unique barcodes for each product.<\/li>\n<li><strong>Brand<\/strong>: Add the product Brand if applicable, e.g., Nike.<\/li>\n<li><strong>Category<\/strong>: Add a category that suit the product, e.g., Sports Shoes.<\/li>\n<li><strong>Tags<\/strong>: Add any tag that may suit your product, e.g., Sports \u2013 shoes \u2013 Men \u2013 Red \u2026etc.<\/li>\n<li><strong>Internal Notes<\/strong>: Add any notes related to this product to view later.<\/li>\n<li>Check the \u201c<strong>Track Stock<\/strong>\u201d check box to let the system track the number of products and update it automatically with every operation done with it (sale \u2013 purchase).<\/li>\n<li>In the \u201c<strong>Initial Stock Level<\/strong>\u201d, enter the current quantity of items in stock.<\/li>\n<li>In the \u201c<strong>Low Stock Threshold<\/strong>\u201d, you will get a low stock notification when product quantity is equal or under this number.<\/li>\n<li>Tick the \u201c<strong>Temporarily Deactivate<\/strong>\u201d check box to temporarily deactivate this product.<\/li>\n<li>Click on the \u201c<strong>Save<\/strong>\u201d button to save the new product.<\/li>\n<\/ol>\n<p>You can create each product using these steps or import a list of products from a CSV file if you have a large inventory.<\/p>\n<h2>Manage\u00a0The Inventory<\/h2>\n<p>Many actions\u00a0can by applied on added products so if you need to edit, delete or view informations about an added products follow these steps<\/p>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>inventory<\/strong>\u201d.<\/li>\n<li>This page lists all inventory products or services you have added to your system.<\/li>\n<li>To create a new product, click the \u201c<strong>New Product<\/strong>\u201d button.<\/li>\n<li>Use the search bar to search for products by name, code, tag, category, brand, or status.<\/li>\n<li>Each listed inventory item will show its name, code, barcode, status (IN STOCK \u2013 INACTIVE \u2013 LOW STOCK \u2013 OUT OF STOCK), buy price, and retail price.<\/li>\n<\/ol>\n<h3>Edit an Inventory product<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Inventory<\/strong>\u201d.<\/li>\n<li>Next to the product you wish to edit, click the right arrow and choose \u201c<strong>Edit<\/strong>\u201d.<\/li>\n<\/ol>\n<h3>Delete an inventory product<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Inventory<\/strong>\u201d.<\/li>\n<li>Next to the product you wish to delete, click the right arrow and choose \u201c<strong>Delete<\/strong>\u201d.<\/li>\n<\/ol>\n<h3>View an inventory product\u2019s information<\/h3>\n<p>The information tab will show the product details and how many were sold from this item.<\/p>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Inventory<\/strong>\u201d.<\/li>\n<li>Next to the product you wish to view, click the right arrow and choose \u201c<strong>view<\/strong>\u201d.<\/li>\n<li>Click the \u201c<strong>information<\/strong>\u201d tab.<\/li>\n<\/ol>\n<h3>Edit a Stock level (quantity) a certain product<\/h3>\n<p>Once you have created a product and added the Initial Stock levels, the quantity of products changes automatically with new sales orders or purchases orders. To adjust a certain product\u2019s quantity:<\/p>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Inventory<\/strong>\u201d.<\/li>\n<li>Next to the product you wish to view, click the right arrow and choose \u201c<strong>view<\/strong>\u201d.<\/li>\n<li>Click the information tab.<\/li>\n<li>Click on the \u201c<strong>Adjust Manually<\/strong>\u201d button under the stock level option.\n<ul>\n<li>From the \u201c<strong>Quantity<\/strong>\u201d option, choose to add or subtract and add the number you wish to add\/subtract to the stock level.<\/li>\n<li>Add the \u201c<strong>Unit Price<\/strong>\u201d of the buy\/sell addition and choose the currency.<\/li>\n<li>Choose the \u201c<strong>Movement<\/strong> <strong>date<\/strong>\u201d.<\/li>\n<li>Add any related notes.<\/li>\n<\/ul>\n<\/li>\n<li>The Stock Before and Stock After will show the changes to the quantity of the stock before and after this edit.<\/li>\n<li>Click the \u201c<strong>Save<\/strong>\u201d button.<\/li>\n<\/ol>\n<h3>Review the latest stock Transactions<\/h3>\n<p>All Stock Transactions are recorded within your system. To view the latest stock Transactions:<\/p>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Inventory<\/strong>\u201d.<\/li>\n<li>Next to the product you wish to view, click the right arrow and choose \u201c<strong>view<\/strong>\u201d.<\/li>\n<li>Click the &#8220;S<strong>tock Transactions<\/strong>&#8221; tab.<\/li>\n<\/ol>\n<p>The Stock transaction tab will show all the latest edits to the stock level (Purchase orders \u2013 Sales orders \u2013 Manual Adjustments), date of the edit, move count, and stock level.<\/p>\n<h3>Review the Timeline of a certain stock.<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Inventory<\/strong>\u201d.<\/li>\n<li>Next to the product you wish to view, click the right arrow and choose \u201c<strong>view<\/strong>\u201d.<\/li>\n<li>Click the &#8220;<strong>Timeline<\/strong>&#8221; tab.<\/li>\n<\/ol>\n<p>The Timeline tab will show all the latest actions to the stock level (Purchase orders \u2013 Sales orders \u2013 Manual Adjustments \u2013 Delete), date of the action, stock level after the action, and which staff member performed this action.<\/p>\n<h2>Adding New Suppliers<\/h2>\n<p>Once you have finished adding products its time to add your suppliers. You can issue purchase orders with the products you need to certain suppliers and track the order&#8217;s state\u00a0from leaving the supplier&#8217; storage to arriving to you inventory.<\/p>\n<p>To add new suppliers to your OnlineInvoices Inventory Management system, follow these steps:<\/p>\n<ol>\n<li>From the \u201c<strong>inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Suppliers<\/strong>\u201d.<\/li>\n<li>The \u201c<strong>Suppliers<\/strong>\u201d home page will list all the recently created suppliers.<\/li>\n<li>Click the \u201c<strong>New Supplier<\/strong>\u201d button.<\/li>\n<\/ol>\n<h3>Add the new supplier\u2019s details<\/h3>\n<p><strong>Complete the \u201cSupplier Details\u201d:<\/strong><\/p>\n<ol>\n<li>Business Name: Enter the supplier business name here. If there is no organization name, simply add the supplier\u2019s full name, and leave \u201c<strong>First Name<\/strong>\u201d and \u201c<strong>Last Name<\/strong>\u201d empty.<\/li>\n<li>Add your supplier\u2019s Business details: Name, Telephones, and Address.<\/li>\n<li>Tick the \u201c<strong>Add Secondary address<\/strong>\u201d check box if you wish to add another address for the supplier, like another office or the suppliers\u2019 warehouse.<\/li>\n<li>Click the \u201c<strong>Add Contact<\/strong>\u201d button to add more contacts related to the supplier, like sales department, shipping department&#8230;etc. You can add unlimited contacts for one supplier.<\/li>\n<\/ol>\n<p><strong>Complete the \u201cAccount Details\u201d:<\/strong><\/p>\n<ol>\n<li><strong>Supplier Number<\/strong>: By default, your system will automatically generate the next available Supplier number. You can change the number if required (providing you select a number not already taken), and the system will select the next available number when you add your next Supplier.<\/li>\n<li><strong>Currency<\/strong>: If you require a different currency for a Supplier (different from the default currency entered in the global settings), enter the required currency here.<\/li>\n<li><strong>Email<\/strong>: Enter your supplier\u2019s email address here.<\/li>\n<li><strong>Notes<\/strong>: Add any notes you wish to add about the supplier.<\/li>\n<li><strong>Generate Password Automatically<\/strong>: If you select this option, a new password will be generated by the system and emailed to the Supplier.<\/li>\n<li><strong>Send online login details to Supplier<\/strong>: A new Supplier password (and link to the site) will be emailed to the Supplier\u2019s email address.<\/li>\n<\/ol>\n<p>Click on the &#8220;<strong>Save<\/strong>&#8221; button to save the new Supplier.<\/p>\n<h2>Manage added suppliers<\/h2>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Suppliers<\/strong>\u201d.<\/li>\n<li>This page lists all current suppliers. You can use the icons on the right to edit, view, or delete the supplier details.<\/li>\n<li>Add new Suppliers to your OnlineInvoices Inventory system by clicking the \u201c<strong>New Supplier<\/strong>\u201d button.<\/li>\n<li>Use the \u201c<strong>Quick Search<\/strong>\u201d tab to search for a supplier; click the \u201c<strong>More Options<\/strong>\u201d button to show all search filters.<\/li>\n<li>The Suppliers table shows all your suppliers with their business and full names, country, status, plus various \u201c<strong>Actions<\/strong>\u201d you can implement for any specific supplier.<\/li>\n<li>Use the select boxes to select multiple suppliers (if required) to bulk delete them.<\/li>\n<\/ol>\n<h3>View your supplier\u2019s details.<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Suppliers<\/strong>\u201d.<\/li>\n<li>From \u201c<strong>Manage Suppliers<\/strong>\u201d, choose \u201c<strong>View<\/strong>\u201d, next to the supplier you need to view.<\/li>\n<li>The supplier\u2019s view page will show two tabs:\n<ul>\n<li>The \u201c<strong>profile<\/strong>\u201d tab shows the supplier\u2019s basic details and his contacts.<\/li>\n<li>The \u201c<strong>Latest Purchase orders<\/strong>\u201d tab shows a list of the latest purchase orders for those suppliers, showing the order ID, Date, its status (Received &#8211; Unreceived), the total amount of the order and action buttons for the order.\n<ul>\n<li>\u00a0View order.<\/li>\n<li>Save the order as PDF.<\/li>\n<li>\u00a0Send the order to the supplier\u2019s email.<\/li>\n<\/ul>\n<\/li>\n<li>The supplier view page also shows buttons to edit the details for the supplier or delete it.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<h3>Edit your supplier\u2019s details.<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Suppliers<\/strong>\u201d.<\/li>\n<li>From \u201c<strong>Manage Suppliers<\/strong>\u201d, click \u201c<strong>Edit<\/strong>\u201d, next to the supplier you need to edit details.<\/li>\n<\/ol>\n<h3>Delete your supplier.<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Suppliers<\/strong>\u201d.<\/li>\n<li>From \u201c<strong>Manage Suppliers<\/strong>\u201d, click \u201c<strong>Delete<\/strong>\u201d, next to the supplier you need to delete.<\/li>\n<li>This is a permanent action. Number and the Purchase order\u2019s date.<\/li>\n<li>Choose an Item from the drop down list and fill its data (unit buy price \u2013 quantity).<\/li>\n<li>Add any notes or terms related to your purchase order.<\/li>\n<li>Tick the \u201cReceived\u201d check box if you have already received this order.<\/li>\n<li>After finishing the purchase order, you can:\n<ul>\n<li>Preview the order in web or as PDF,<\/li>\n<li>Save as Draft,<\/li>\n<li>\u00a0Save and Send Via Email to supplier or Save and print the order.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<h2>Manage Created Purchase Orders<\/h2>\n<p>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/p>\n<ul>\n<li>The Purchase Orders page lists all Purchase Orders you have created.<\/li>\n<li>To create a new Purchase Order, click the \u201c<strong>New Purchase Orders<\/strong>\u201d button.<\/li>\n<li>Use the search bar to search for Purchase Orders by number, supplier, currency, date, or staff.<br \/>\nEach listed Purchase Order will show its number, supplier information, date, status (DRAFT \u2013 UNRECEIVED \u2013 RECEIVED), and price.<\/li>\n<\/ul>\n<h3>Edit a Purchase Order<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to edit, click the right arrow and choose \u201c<strong>Edit<\/strong>\u201d.<\/li>\n<\/ol>\n<h3>Delete a Purchase Order<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to delete, click the right arrow and choose \u201c<strong>Delete<\/strong>\u201d.<\/li>\n<\/ol>\n<h3>Save a Purchase Order as a PDF file<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to download as PDF, click the right arrow and choose \u201c<strong>PDF<\/strong>\u201d.<\/li>\n<li>The PDF file will start downloading automatically.<\/li>\n<\/ol>\n<h3>Print a Purchase Order<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to print, click the right arrow and choose \u201c<strong>print<\/strong>\u201d.<\/li>\n<\/ol>\n<h3>Email a Purchase Order to the supplier<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to email, click the right arrow and choose \u201c<strong>Email to supplier<\/strong>\u201d.<\/li>\n<li>Edit the email body and information then click \u201c<strong>Send<\/strong>\u201d.<\/li>\n<\/ol>\n<h3>Clone a Purchase Order<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to clone, click the right arrow and choose \u201c<strong>Clone<\/strong>\u201d.<\/li>\n<li>The Purchase order will be cloned and opened in a new window to complete its data.<\/li>\n<\/ol>\n<h3>View a Purchase Order information<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to view, click the right arrow and choose \u201c<strong>view<\/strong>\u201d.<\/li>\n<li>Click the &#8220;<strong>Purchase Order<\/strong>&#8221; tab.<br \/>\nThe Purchase Order tab will show the Purchase Order details and actions to apply (Edit -Email \u2013 Print \u2013 PDF &#8211; Delete) and mark as received.<\/li>\n<\/ol>\n<h3>Mark a Purchase Order as Received<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to view, click the right arrow and choose \u201c<strong>view<\/strong>\u201d.<\/li>\n<li>Click the &#8220;<strong>Purchase Order<\/strong>&#8221; tab.<\/li>\n<li>From the top right corner, click the \u201cMark as Received\u201d button.<\/li>\n<\/ol>\n<h3>Mark a Purchase Order as Unreceived<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to view, click the right arrow and choose \u201c<strong>view<\/strong>\u201d.<\/li>\n<li>Click the &#8220;<strong>Purchase Order<\/strong>&#8221; tab.<\/li>\n<li>From the top right corner, click the red arrow and choose \u201c<strong>Mark as Unreceived<\/strong>\u201d button.<\/li>\n<\/ol>\n<h3>View the Activity Log for a purchase order.<\/h3>\n<p>All actions done on a certain purchase order are recorded within your system. To view the latest activities:<\/p>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to view, click the right arrow and choose \u201c<strong>view<\/strong>\u201d.<\/li>\n<li>Click the &#8220;<strong>Activity Log<\/strong>&#8221; tab.<br \/>\nThe Activity Log tab will show all the latest actions to the purchase orders and which staff members performed this action.<\/li>\n<\/ol>\n<h3>View the Sent Emails for a purchase order.<\/h3>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>Next to the Purchase Order you wish to view, click the right arrow and choose \u201c<strong>view<\/strong>\u201d.<\/li>\n<li>Click the &#8220;<strong>Notification Emails<\/strong>&#8221; tab.<\/li>\n<\/ol>\n<h3>Change the Purchase Order Settings<\/h3>\n<p>To change the next P.O Number or the address settings:<\/p>\n<ol>\n<li>From the \u201c<strong>Inventory<\/strong>\u201d menu, choose \u201c<strong>Manage Purchase Orders<\/strong>\u201d.<\/li>\n<li>In the top right corner, click on the gear icon.<\/li>\n<li>In the \u201c<strong>Next P.O.
